Enter Contacts

From the Contacts panel, you can add, edit, or delete contact information for the lease or portfolio item. The information you enter for contacts is available in the Contacts by Building/Structure/Land/Lease Report generated from the Portfolio Management application.

Note: Contacts are associated with the portfolio item you are working with, that is, with a building, structure, land, or lease. When you generate the Contacts by... report, you can select Contacts by Leases or Contacts by Buildings/Structures/Land. Contacts by Leases shows the contacts you associated with a lease; Contacts by Buildings/Structures/Land shows the contacts you associated with a building, structure, or land.

Accessing the Contacts Panel

You can enter contacts using the Contacts panel accessed from either the Portfolio Administration or Lease Administration/Add/Edit Wizard (Contacts tab), or from the Lease Administration/Add/Edit Form - Complete task. Before adding contacts, you first select the portfolio item.

Procedure: Entering Contacts

To add a new contact for the portfolio item:

  1. Click Add New at the top of the Contacts panel.

    The Add New Contact dialog appears.

  2. Enter the following required field:

    Contact Code: A unique identifier for the contact. The contact code is used to identify the contact in the Contact list, so enter a code that distinguishes the contact if there are others of a similar type.

  3. Enter any additional information you want to track for the contact.

    The Contact Type Use this field to classify the contact. This field is helpful in locating a specific contact when you are storing multiple.

    Notes: Use this field to enter additional information about the contact.

    Contact Status: Use this field to designate the contact as Current or Old.

  4. Click Save on the Add Contact pop-up window.

To edit a contact:

  1. Select the contact in the Contact List.

    The contact information appears in the Contact Details section.

  2. Click Edit .

    The Edit Contact pop-up window appears filled in with the information.

  3. Edit the information and click Save.

To delete a contact:

  1. Select the contact in the Contact List. 

    The contact information appears in the Contact Details section.

  2. Click Delete.

    A confirmation message appears.

  3. Click Yes.
