User Overview: Space Chargeback
Designed for business unit and department managers who want self-service access to space cost and chargeback reports for their organization, ARCHIBUS Space Chargeback provides an integrated Web-based solution for running and reporting on space chargeback and financials. With this application, managers can be held accountable for their space usage, enabling them to make value-based space utilization decisions.
The application provides tools for setting up, calculating, and reporting on the costs for space. It relies on a comprehensive and accurate space inventory, which is supplied seamlessly by the complementary ARCHIBUS Space Inventory & Performance application.
ARCHIBUS Space Chargeback offers reports designed to meet the needs of its many users, such as a detailed analysis by room and a financial statement by department. In addition, it allows users to define and calculate shared workplace chargeback, for situations where multiple departments share the same room, either at the same time or over different time periods.
Before managers can view reports on departmental space costs, business process owners must manage background data. Similar to the ARCHIBUS Space Inventory & Performance application, the user selects an item in the tree view that displays the hierarchical data, and then manages that data on an edit form.
The view below allows users to define costs per area for buildings and floors. A similar view allows users to enter costs for rooms and room categories as well – a feature new to Web Central. The tree view organizes the data so that when the user selects a building, the associated floors are listed. Clicking on any node in the tree view displays its corresponding information on the edit form:

After adding background data, such as costs and prorated areas, managers can view chargeback reports, such as the Financial Statement by Division. This report, like many others in Space Chargeback, contains three panels:
- In the first top panel, a manager can select a division in this top panel to see the associated departments in the second panel.
- Then, in the second panel, selecting a department shows the associated rooms in the bottom panel.
- Lastly, in the bottom panel, reporting on space costs by division and department can hold managers responsible for those units accountable for the space they use.
When department managers are internally billed for their use of space, they are more apt to reduce inefficient space usage. Space efficiency typically improves throughout the entire organization and total occupancy costs are reduced.

Facility or department managers may see the common areas that are shared among departments by generating the Highlight Common Area Rooms view below, which uses a Flash-based drawing to highlight areas that are prorated to floors, buildings, or sites:
