The ARCHBUS, Inc. Awards of Excellence Program was instituted in 1998 to honor facility professionals, Business Partners, users' groups, and other organizations for their exceptional achievements in FM automation.

Distinguished Author Award
To the person whose article or research paper raises the awareness of the importance of FM automation, and whose vision and efforts in the face of obstacles and pitfalls has resulted in major success.

Scott Shader, University of Missouri-Columbia

Rationale: Feature article, “Connect the Dots,” in NACUBO Business Officer (February 2005), the most prestigious magazine for business officers of major colleges and universities. This article showcases how MU use ARCHIBUS as an indispensable business tool integrated within their systems and processes. The integrated solution has saved them thousands of dollars and has generated millions in additional reimbursement dollars.

Application Excellence Award
This award is being presented to the organizations that have demonstrated a unique, innovative application of the ARCHIBUS software to their company's own needs and overall structure. All of these organizations can be viewed as explorers and visionaries who, early on, had the courage to "push the envelope" and "see outside of the box." None of them is new to the challenges and rewards of CIFM.

The Walt Disney Company

Rationale: The Global Help Desk Center at Disney processes requests and provides worldwide support 24/7 with the ARCHIBUS Building Operations Work Wizard. Work Requests are received and immediately distributed to the appropriate group for resolution.

First National Bank, Inc.

Rationale: Under the leadership of Phyllis Futch at FNBI, her team was innovative in the creation and implementation of a Web-based strategic planning tool at First National Bank. This tool is rolled out to all of the 300 departments within the organization for collecting strategic planning projections and interview information.
 

“Through the use of the ARCHIBUS Strategic Master Planning application, First National is able to maintain data integrity in our facility planning efforts by providing a tool for the business units to input and track their growth projections. We maintain these projections in a single repository of all planning data from over three million square feet of managed space, located across seven states. This effort improves the accuracy of our planning data for developing long-range, strategic projections as well as for identifying day-to-day tactical planning options to maximize the corporation’s use of its facilities investment.”

Polo Ralph Lauren

Rationale: Elise Travers has single-handedly pushed for acceptance of ARCHIBUS by many layers of the Polo organization all the while driving the staff at Visser Software to higher levels of automation for Retail Fixture Tracking.

Kellog, Brown and Root

Rationale: As long-time users of ARCHIBUS for Space Management, KBR has mastered its use of the application. Beginning in 2004, under the leadership of John Scheibelhut and Bret Barcik, and the Project Management of Paul Cline, the KBR team enlisted BRG to help dramatically expand the use of ARCHIBUS to encompass just about every service the CRE/FM team delivers to their customers. With a secured portal, users can now request, manage, and report on all aspects of services, including—moves, adds, changes; work order requests; reprographics management, integrated fax and copier management; access and key control; and a very detailed integration with SAP Enterprise software to charge for all the provided services.

Soka University

Rationale: To maximize feedback from students, faculty, and staff, Soka University has adopted APPA’s (Association of Higher Education Facilities Officers) Strategic Assessment Model. The model blends two widely adopted performance perspectives—Baldridge Assessment and Balanced Scorecard. Soka was able to open portals through the OSIS system and leverage its maintenance management software to track and report performance metrics in four areas: financial, processes, customer, and employee relations—via a state-of the-art digital dashboard format.

Distinguished User Award
This award is presented to an organization or an individual who has provided sustained leadership in its FM automation practices and implementation.

Danette Ogden, First National Bank, Inc.

Rationale: Danette Ogden has shown leadership and initiative in the utilization and implementation of the Strategic Master Planning application of ARCHIBUS. Use of the system has significantly enhanced the strategic planning process at FNBI in less than one year.  

“First National has recently completed its implementation of the ARCHIBUS Strategic Master Planning application. This is the seventh application we have implemented from among the suite of applications. With the solutions, development, and support of our vendor partner, BRG, First National significantly customized this module to support our unique planning process and to leverage the data maintained in the others. This implementation enabled our Facility Planning Team to handle additional workload without adding staff and to leverage our data to assist business units in analyzing various “what-if” scenarios.”

Chuck Sabolovic, Raytheon Company

Rationale: Chuck Sabolovic is the Technical OnSite IT Administrator for Raytheon, and has done an outstanding job as a “champion” for the ARCHIBUS system and interfaces with the user community. For over 5 years, he has assisted in shepherding Raytheon through numerous upgrades as well as working “hands-on” with new and existing users throughout the IIS sector. As Raytheon has grown, Chuck has provided many process improvements that have centered on the ARCHIBUS application. He has become an extremely valuable central control point for a nationwide audience of ARCHIBUS users—providing expert knowledge and supporting them in all phases as Raytheon continues to expand their ARCHIBUS implementation.

David Benjamin, Scios, Inc.

Rationale: As the Facilities Manager of Scios, Inc., a fast-growing subsidiary of Johnson & Johnson, Dave Benjamin implemented a full ARCHIBUS-based CAFM system to manage Space, On-Demand Work, Preventive Maintenance, Assets, and Moves. Previously, Scios had no automated tools for any aspect of facilities management. After his initial training and a turn-key implementation from BRG, Dave took the ball and ran like a long-time ARCHIBUS veteran. He was able to personally propel the expansion of the system beyond the core users, with a Web-based tool set. As a result, within a short period of time, ARCHIBUS has become the single decision support solution used by both management and operations staff to manage their facility.

Bill Freire, University of CA/Riverside

Rationale: As Manager of Information Technology for Academic Planning & Budgeting at the University of California-Riverside, Bill Freire has been the constant champion of the ARCHIBUS system—from the RFP stage. He has provided the key technical and analytical support throughout the successful implementation of Space Management. Including a full measurement, verification, and as-built CAD project for over 4 million square feet (with BRG’s help), UCR successfully replaced an existing home grown system in a matter of months. Business rules to manage the consistency of data to the strictures defined by the Office of the President, have been built into the system. As table-driven, user-definable logic, this provides a very advanced level of “checks and balances” for the data which is used to support Indirect Cost Recovery proposals at UCR.

Shweta Chopra, University of Illinois-Chicago

Rationale: Shweta Chopra started working with the Office of Facility Planning and Space Analysis (FPSA) as a graduate student in the Fall of 1999. By 2001, she was hired as a full-time employee at the University of Illinois-Chicago. She currently provides administrative support for the ARCHIBUS application, the UIC FPSA Web site, and the various databases, as well as continually striving to grow the use of ARCHIBUS at UIC via her Business Analyst role. Being extremely knowledgeable and understanding the breadth of the ARCHIBUS applications qualifies Shweta to recommend where it can best be applied at the university. Major accomplishments achieved under her watch, include: integration of ARCHIBUS with the Paymaster system to support consolidated reporting of financial data against space and occupancy data for Grants and Contracts; integration with the Banner Accounting system used by the University; and implementation of Space data archiving functionality to report room-by-room history over time

Tony Noyce, Johnson Controls (at IBM Hursley Park)

Rationale: Tony Noyce has led the continued use of ARCHIBUS at IBM’s Hursley site, overseeing the expansion and upgrade of the system to help manage IBM’s buildings and assets. IBM is one of the longest standing ARCHIBUS users in the UK and continues to derive benefits from the system via the outsource provider, Johnson Controls.

Dr. Gerard Gabriel, University of Sydney

Rationale: Dr. Gerard Gabriel has demonstrated consistent commitment and leadership in promoting the ARCHIBUS system within the University of Sydney, beyond the facilities management office. As an example, ARCHIBUS is also used for tracking over 2,400 pieces of art and heritage items providing a convenient, accurate inventory of the University’s holdings, and is now their official Asset Management System—even replacing Peoplesoft.

TIFM Best Practices Award
To the individual or team whose facility management approach has had a substantial, positive effect that has contributed to the success of many organizations.

Corporate Properties Team, The City of Calgary

Rationale: While deploying their FM data, the Corporate Properties Team has taken an innovative approach by ensuring that other datasets within the City of Calgary can be leveraged to the fullest extent. For example, rather than creating a separate Geographic Information System, they have leveraged GIS data from the city’s GIS Center for Excellence and applied it as background information in which ARCHIBUS data can be summarized and displayed on maps. Corporate Properties took a similar approach with the IT group. Now datasets from the three groups are combined via the Web, using OSIS and Autodesk MapGuide, leveraging the power and flexibility of ARCHIBUS.

Mike Carter, Accenture

Rationale: Mike Carter and his team have delivered an extensive implementation of ARCHIBUS for integrated space management, service desk, room booking and facilities helpdesk. This major implementation which has been rolled out to Accenture offices across the UK, also involves an innovative use of wireless applications for fault logging and room reporting. By using ARCHIBUS, Accenture achieved savings of 2% of its London office space costs in the first year of operation, generating a Return-on-Investment of more than 500%, and the system continues to bring substantial benefits to the organization.

Deborah Takimoto, Chiron Corp.

Rationale: As a Systems Support Analyst for Chiron’s Facility Planning Group, Deborah has played a key role in discovering new ways that the ARCHIBUS applications can be used to service Chiron’s enterprise needs. After mastering Space Management and the Overlay tools (integrated with SAP), she worked with Chiron’s Real Estate Group to explore how they could benefit from the Real Property & Lease Management application. Later, Deborah helped identify how the capabilities of the Furniture & Equipment application could be used to bridge the information gaps between Chiron’s Planning Group, HR Dept., and Campus Services. Chiron now uses Space, Lease, and F&E successfully, because Deborah approached each implementation methodically, working with other group members to ensure careful planning and workflow definitions.

Movicom BellSouth (Telefonica Group)

Rationale: Movicom provides mobile telecommunications services and equipment in Argentina. They implemented ARCHIBUS in 1997 and since have been managing their assets with all the ARCHIBUS applications. In 2004, with the collaboration of Absis Consulting, Movicom performed a survey audit of their buildings managed by ARCHIBUS and found:

TIFM Visionary of the Year Award:
To the individual whose vision and ideas exemplify the most innovative, far-seeing technical possibilities and strategies for FM automation.

Barry Varcoe, Royal Bank of Scotland

Rationale: The Royal Bank of Scotland is the fifth largest bank in the world and over the last 10 years has had an enviable record of success and growth. The business has transformed itself from a successful regional bank into a global mega-bank, driven by a desire to be the best and a mandate for its people to “make it happen.” In 2002, the Facilities and Logistics department (of the Real Estate and Facilities Group) rose to the challenge of driving a “step-change agenda” at RBS that would result in major improvements made in several critical areas, such as supply chain management, performance measurement, front of house services, multi-point satisfaction measurement, flexible service standards, and the overall operational model. ARCHIBUS was deployed as a new comprehensive information platform and played a critical enabling role in the process of implementing the high-intensity program of innovation and “Best Practices” across a portfolio of over 20 million square feet totaling over 3,000 properties.

Awarded to an organization or an individual whose facility management practices contribute to creating and managing productive work environments that support corporate objectives. These organizations and individuals demonstrate consistent FM strategies resulting in improved quality of service and facility effectiveness.

Earthlink Communications (Kim Adamson, Tony O’Bannon, Ryan Crosby)

Rationale: The Earthlink Team has continually expanded the use of automation for FM and CRE management. Since initially replacing an Aperture system two years ago, Earthlink has successfully deployed ARCHIBUS for Space Management, Asset Management, as well as Lease Management. ARCHIBUS was a significant strategic tool for Earthlink in consolidating their real estate portfolio through many corporate acquisitions and mergers. After a strong ROI, and high management visibility, the team is now looking to expand automation into other functions of the CRE department, in particular—Move and Maintenance Operations.

Elion Telecommunications (Estonia)

Rationale: Arbo Lindma of Elion Enterprises and his team have used ARCHIBUS to gain organization-wide cost transparency at this major telecommunications company in Estonia. To meet this objective, Elion has been able to track energy costs by property, accurately forecast room costs, and integrate ARCHIBUS with an Oracle-based Personnel Management system to manage asset allocation for all employees. These tactics have helped save the company $200,000 annually in administrative costs.

Enel (Italy)

Rationale: Antonello Buondonno and Angelo Gava of the major European utility Enel have accomplished impressive results through their use of ARCHIBUS. Their group was charged with restructuring the company’s property and facilities portfolio and processes to reduce costs by at least 10%. To help achieve this goal, Buondonno and Gava implemented an integrated Property & Facilities management information system, renegotiated lease contacts to increase flexibility, orchestrated large-scale moves for more efficient space use, and centralized the purchase of cleaning services, including benchmarks. Based on their innovative use of facilities managment technologies, as well as superior project management techniques, they were able to exceed management’s directive, saving up to 24% on rentable area costs and reducing cleaning services by 21%. Today, ARCHIBUS is used at Enel as the basis for all decision-making processes.

European Space Agency

Rationale: Laurent Jauniaux, Head of Infrastructure and Security at European Space Agency (ESA), has used ARCHIBUS to help consolidate information and establish common site management practices throughout the organization. To meet this objective, Jauniaux and his associates have automated data flow among the three corporate applications for employee information management, have enhanced space management and introduced benchmarking figures, and can now track and control preventive and on-demand maintenance costs. In addition, the team has created a single database for all ESA sites with self-service features via the Web, significantly reducing administrative tasks.
 

“In 2000, the Sites Management Department of the European Space Agency decided to implement a new Computer Integrated Facility Management (CIFM) System with the following objectives in mind:
1) Provide all Department staff and contractors with a professional tool and reduce the number of FM tools in use throughout the organisation.
2) Establish common Site Management practices throughout the establishments of ESA.
3) Consolidate information at the level of ESA by using a unique reporting facility.
Today CIFM is fully deployed and the objectives of 2000 are reached beyond expectation.”

Siemens Medical Solutions

Rationale: Tom Pagurek and Jeff Martin of Siemens Medical Solutions have developed a single-point solution for managing diagnostic imaging and biomedical equipment at more than 350 healthcare facilities worldwide. With ARCHIBUS as the basis, they have implemented a flexible, multi-lingual software solution that is used to roll-up all maintenance information into a single, centralized database; enforce business rules using built-in workflow automation; and provide a closed-loop system for feedback and support of continuous improvement. As a result, Siemens has drastically reduced preventive and on-demand maintenance costs while ensuring compliance with regulatory requirements such as JCAHO.

Siemens Medical Solutions, Inc.

Synopsys, Inc. — George Navarro, Kathy Milligan, Barbara Donaldson, Rebecca Jorgensen

Rationale: The Synopsys Team continues to push the corporate use of ARCHIBUS resulting in a state-of-the-art, forward-thinking system. Building on a successful implementation at their corporate headquarters, they expanded its use to encompass worldwide operations, and are currently managing over 100 leases across the globe with the Lease Management application. As a growing company, Synopsys has made a number of strategic acquisitions. By using a combination of the Space and Furniture & Equipment applications, Synopsys was able to efficiently and effectively identify, then allocate and reallocate, needed space to accommodate these moves—all in conjunction with their weekly Move Projects. With BRG’s support, they have rolled out a Web-based service request portal throughout North America at over 40 sites. Within the secured, role-based portal, users can request and manage services delivered by the Synopsys Team, including moves/adds/changes, conference room set-ups, and work order service requests. Based on its success, Synopsys is planning to also expand their Web-based system worldwide.

Tiffany & Co. (Kerianne Cullen)

Rationale: Representing the IT side of Tiffany & Co., Keri has worked tirelessly to bring together five distinct groups of users into a more cohesive approach for application usage within the company. Tasked with simplifying the myriad users and application licenses related to ARCHIBUS and AutoCAD, Keri took the time to understand the varying needs of different parts of the organization, meticulously documented what each user was using, conducted open discussion meetings and focus groups to review different product version choices, and coordinated all licenses into a current consistent version. Keri also oversaw the Disaster Recovery planning process for ARCHIBUS users and continues as point person, successfully resolving all technical support issues.

Warner Bros. Studios (John McGlynn & Michael Cook)

Rationale: Michael Cook and John McGlynn successfully introduced the use of the ARCHIBUS Building Operations application to handle all on-demand work requests and scheduled maintenance on the enormous Warner Bros. lot. The implementation included training key users and managers on the ARCHIBUS system directly. With BRG’s support, they rolled out a Web-based service request portal that dovetailed into the existing WB home page for access by thousands of users. In addition, the WB Help Desk, formerly a phone/e-mail based system, now utilizes Web tools with the ARCHIBUS Building Operations application to entirely manage the workflow. They have also implemented a Web-based Project Management and Move Management system so that Planners and Project Managers have been added to the core group of Operations users.

Awarded to an individual whose FM practices contribute to creating and managing productive work environments that support business plan objectives. These individuals demonstrate outstanding FM strategies resulting in improved quality of service and facility effectiveness, and their efforts contribute to the overall profitability of their organizations or those which they serve. They have all demonstrated clear, consistent vision, proven value and quantifiable results in record time, while continually expanding the reach of ARCHIBUS throughout the enterprise.

Deborah Lott and Gary Vernick, City University of New York

Rationale: Their vision and leadership in spearheading change management began 13 years ago at JP Morgan when Deborah Lott and Gary Vernick used ARCHIBUS to automate 5 million square feet of space at the Wall Street bank. They were motivated by the need to allocate and chargeback occupancy costs to various departments, to find unoccupied office space, and to better manage in-house design projects. Now they are overseeing automation efforts at The City University of New York (CUNY), the nation's largest urban public university, serving more than 450,000 students at 19 colleges in New York City, in 330+ buildings on 26.2 million square feet of space. Still they use ARCHIBUS to establish standards, ensuring that information is accurate, up-to-date, and easily comparable from campus to campus. With ARCHIBUS as a single, centralized source of information, they support the University’s long-term growth and modernization strategies, keeping pace with its increasing role in the vitality of the city and state of New York.  

Michael Chamberlin, Johnson County Kansas

Rationale: Once Michael Chamberlin developed the Strategic Facilities Plan and identified the $1.5 Million per year lease savings (realized for the next 30 years), it was only a matter of time before Johnson County’s ARCHIBUS usage was expanded to other agencies. Now all the maintenance staff is using the Building Operations Management application; the Information Technology Services Networking group has been trained in the use of Telecommunications & Cable; the Sheriff’s office is using Furniture & Equipment for tracking its computers and other fixed assets; the Airport Commission has purchased Real Property & Lease Management to track its lease holdings; and departments are tracking their staff in Space Management. In addition, the Emergency Management department has plans to use the Emergency Preparedness application to assist in its Continuity of Government Plan. With ARCHIBUS, Johnson County is truly benefiting from a Total Infrastructure & Facilities Management system.

Chris Robinson and Craig Krook, State of Minnesota ARCHIBUS Users’ Group (SMAUG)

Rationale: In 2001, SMAUG was formed as a collaborative effort among the State of Minnesota’s Administration, Corrections, Human Services, and Veterans’ Home Board agencies. These groups have worked together to establish background data, create joint standards, and complete their initial implementation goals to leverage their ARCHIBUS investment. They have expanded their original space and work order implementations to include asset tracking and depreciation; consumable inventory tracking; roof tracking and maintenance; and Business Continuity Planning (Emergency Preparedness). Their collaboration has resulted in accolades and significant monetary savings. In fact, the group reports a 75% cost reduction in joint agency training and a 66% reduction in workflow modifications. Their visionary, innovative approach has improved and enhanced efficiency and effectiveness in state government.

TEAMS provides corporate executives and business leaders a tool that allows transparent assessment of their firm's compliance record and environmental liabilities, while at the same time facilitating efficient management of their entire programs.

Carmen Castellano, ACTIVA FM (a division of CADTECH)

Rationale: Representing a large Telecom company, Carmen was confronted with a serious technical issue related to a complex deployment environment which was required by the client. Carmen demonstrated true professionalism in her methodical approach to gathering the relevant data, documenting it, and reporting her findings to ARCHIBUS Customer Service in a language that is not her native language. Throughout this issue’s lifecycle, Carmen kept all interested parties up-to-date—including her management, the client, and the ARCHIBUS Business Development Manager. With Carmen’s help ARCHIBUS staff were able to reproduce the issue in a similar environment and quickly develop and release an update for her to test and approve. The update was deployed to the client and the issue was closed by both ARCHIBUS and CADTECH.

Wojciech Kuszko, Lepton (Poland)

Rationale: While waiting for the translation kit to be available in order to translate ARCHIBUS into Polish, Wojtek added some functionality for which his property managers were asking. He modified the database structure and created a dialog which makes it fairly easy to bill tenants and track lease agreement changes. This represents the best of the channel—combining a high level of domain knowledge, controlled technical expertise, and the gumption to go after global business.  

“Implementing the Real Property & Lease Management application for property managers of multi-tenant office buildings, we found it necessary to modify the way the application handles lease information that is crucial for property and lease financials. We have added functionality to record changes of lease terms due to renegotiation and annexing of lease agreements, rent abatements, various schemes of rent escalation, etc. Rent roll and other reports summarizing lease finances can thus be calculated, accounting for past changes of lease terms as well as changes known to occur in the future. These changes can easily be tracked using a sophisticated ARCHIBUS dialog we created. Using this dialog, one can scroll through time to see the values of any income position for each lease, and monitor how these values changed or would change, and to find a reason for each change. The dialog can be used for billing tenants since its procedures automate calculations of all categories of lease incomes. It also handles currency conversions which is quite important as various components of lease income are, in Poland, usually denoted in different currencies (base rent in USD or EUR while service charges in a local currency.”
